What is Cogmotive Reports?

Cogmotive Reports is a web application that allows you to generate reports about your Office 365 environment.

Customers use Cogmotive Reports to:

  • Understand Usage Trends and Logon Statistics
  • Save Money by Identifying unused Licences.
  • Monitor Compliance and Security
  • Manage Mobile Devices

Navigating Cogmotive Reports

The Cogmotive Reports application is a web application that runs within any modern browser.

Once you are signed up you can log in at any time to view your latest reports.

The navigation menu on the left hand side gives you access to all your reports.

The right hand panel will show you the current report you are viewing and the navigation menu will highlight the report name.

Each report follows a similar format. The graph or chart will show you a visual representation of the data whilst the table shows the data in detail.

How It Works

Is it secure?

We take security very seriously and have built Cogmotive Reports to OWASP security guidelines:

  • Cogmotive Reports runs within a Secure Private Network on the Amazon Web Services cloud, physically located in the North East of the USA. EU data hosting is available for some subscription types, contact us for more information. The Amazon Datacentres are protected by certified security practices.
  • Customer data is logically separated in our back end databases and is only accessible by senior Cogmotive Administrators. User account passwords are securely encrypted and stored within our database.
  • User accounts can be additionally secured using Two Factor Authentication which is available to all users free of charge.
  • All the components of our infrastructure communicate with each other over an encrypted SSL channel.

How does it work?

When you sign up we create a secure Read-Only user account inside your Office 365 environment.

We use this account to make a connection into Microsoft each day to collect information about your Office 365 environment, which we store securely in our databases.

We use the information in our databases to instantly generate your reports when you log in to your Cogmotive account.

What is the Service Account?

The Service Account is an account that is created in your Office 365 tenant and is used by Cogmotive Reports to access your Office 365 configuration details. When you sign up for Cogmotive Reports, you have the option to either create this Service Account manually or use our automated service to create it for you.

When you log in to your Office 365 as an Administrator, you will see this account along with all your other users.

The service account has the following characteristics to ensure the safety and security of your Office 365 environment:

  • It is unlicenced and has no Office 365 mailbox ensuring that your organisation is not charged by Microsoft for this account
  • A secure password, unique to your organisation.
  • Read-only access to your Office 365 environment. Cogmotive does not have the ability to make modifications to your Office 365 environment through this account.

This account is added to the following Office 365 built-in security groups:

This account must exist and be correctly configured before you can use Cogmotive Reports.

How often is my data updated?

We collect information from your Office 365 tenant at least once per day.

Certain pieces of data, such as the Tenant Service Status, are updated far more frequently.

Unfortunately there is no way to force a refresh or collection of your data manually, you will need to wait until the data is updated automatically.

Which browsers are supported?

Cogmotive Reports supports all modern browsers:

Current or (Current - 1) denotes that we support the current stable version of the browser and the version that preceded it. For example, if the current version of a browser is 24.x, we support the 24.x and 23.x versions.

While our applications might run without major issues in older browser versions, we do not actively test in them and generally do not fix bugs that may appear in them.

Signing Up

Signing up (Using the Automatic Sign Up Process)

Signing up to Cogmotive Office 365 Reports is as easy as completing three simple steps.

All Office 365 tenants with more than 50 mailboxes start off as a trial account and we don't ask for any credit card details or charge you unless you are completely satisfied with our product.

In order to use Cogmotive Office 365 Reports we will need to create a service account within your Office 365 tenant. For more information on what this means and why we need this please visit our How it works page.

1. Create a Cogmotive Reports account

To create a Cogmotive Reports account simply visit our signup page and fill in your details.

2. Agree to the Terms of Service

Tick the "I agree" box to continue. You can also choose to have them emailed to you as a PDF by clicking the "email me this" button.

3. Choose your Setup Type

We offer two setup types. Choose the setup type that suits your environment the most.

  • Automatic Setup - If you choose this signup method we will create all the required service accounts and permissions for you. Fill in the required fields, including the details of an Office 365 Global Administrator account. We only use these Administrator details to create the Cogmotive Reports service account, we remove these details from our system once the account is created.
  • Manual Setup - If you do not wish to give us your Global Administrator account details you can choose to create the Cogmotive Reports service account manually within your Office 365 environment.

4. Collecting Data

Now that you're all set up we will start collecting data for your reports. Depending on the size of your tenant this could take some time.

Don't worry, we'll send you an email once the collection has completed and let you know when you can log in and use your reports.

How do I get support?

You can log a support request by logging in to your account and clicking the ‘Request Help' button in the navigation menu. If you are unable to log in, please email support@cogmotive.com for help. Alternatively, visit our support centre for instant support with articles on many of the most frequent problems.

If there is a specific sort of report I'm looking for can you provide it?

We regularly add new reports to our applications based on customer feedback and needs.

A lot of the time you can use our Custom Report builder to create these reports yourself.

If there is something specific you're looking for just let us know and we will do our best to provide it.

What time zone are the report dates and times in?

All the times and dates mentioned on our reports are in Universal Time Coordinate (UTC).
